Position Summary
Lupin is seeking a highly organized, proactive, and business-focused Executive Assistant to serve as a trusted partner to the President, US Generics. This highly visible role sits at the center of the organization, supporting executive leadership, managing strategic priorities, and ensuring the efficient operation of the President's Office. The position regularly interacts with senior leaders across the U.S. and global organization and also provides support to Lupin's President and Global Chief Quality Officer.
This is an onsite position based in our Bridgewater, NJ office.
Key Responsibilities
- Serve as a trusted partner to the President by managing executive priorities, calendars, schedules, and day-to-day office operations.
- Coordinate complex domestic and international travel arrangements, including detailed itineraries and meeting logistics.
- Manage executive calendars and facilitate scheduling across multiple time zones and global stakeholders.
- Prepare executive presentations, briefing materials, talking points, reports, dashboards, and communications.
- Draft and coordinate organizational announcements, speeches, correspondence, memos, and executive communications.
- Plan, coordinate, and support leadership meetings, staff meetings, town halls, and strategic business reviews.
- Develop agendas, capture meeting minutes, track action items, and ensure timely follow-up and execution.
- Collaborate with executive leadership to prioritize initiatives and support key business objectives.
- Research, gather, and analyze information to support decision-making and strategic planning.
- Produce reports, spreadsheets, charts, and presentations for executive review and business updates.
- Maintain short- and long-term meeting agendas, screen requests for executive time, and prepare background materials for meetings.
- Coordinate post-meeting debriefs and communicate outcomes to key stakeholders.
- Process expense reports and reimbursement requests, including international travel expenses and currency conversions.
- Manage visitors, incoming calls, and executive hospitality arrangements.
- Liaise with vendors and coordinate office-related services, including catering, facilities, events, and office support.
- Arrange and support executive participation in conferences, leadership events, and special projects.
- Handle highly confidential information with professionalism, discretion, and sound judgment.
- Perform additional duties and special assignments as needed.
Qualification and Experience
- Proven experience supporting C-suite or senior executives in a fast-paced corporate environment. Minimum 5 years experience of supporting C-Suite leadership. Pharmaceutical, Lifesciences, Healthcare experience preferred.
- Exceptional organizational, communication, and relationship-management skills.
- Advanced proficiency in Microsoft Office Suite, particularly PowerPoint, Outlook, Excel, and Word.
- Proficiency in systems - Concur Expenses Management, SAP or similar ERP system,
- Strong business acumen with the ability to manage multiple priorities and deadlines.
- Demonstrated ability to maintain confidentiality and exercise independent judgment.
- Highly professional, detail-oriented, and capable of working effectively across all levels of the organization.
Compensation Disclosure
The anticipated salary range for this position is $90,000 to $120,000 annually. Actual compensation will be determined based on factors such as relevant experience, qualifications, skills, internal equity, and geographic location. In addition to base salary, Lupin offers a comprehensive benefits package that includes medical, dental, vision, retirement savings plans, paid time off, and other company-sponsored benefits.
