Purpose of the role -

 

The main purpose of this position is to most efficiently support the Chief Technical Operations Officer (CTOO) in developing the newly established area, designing relevant management processes and creating content (e.g. presentations, overviews, infographics, fact summaries, process descriptions and many more) by working closely together with the Cx suit, CTOO Management Team and other key roles within LUPIN and beyond. She/he will be the 'wing man' of the CTOO. 

 

Job Description -

1. Prepare agenda and minutes for CTOO Management Team Meeting (MTM) and support for other meetings such as Operating Reviews and Strategic Reviews 

2. Run/coordinate CTOO internal processes together with Central Functions such as CTOO Strategy Process, Operating Reviews, Strategic Reviews etc. based on demand. 

3. Be the center point for creating & implementing the 'our way of working' approach in the CTOO. 

4. Lead special project assignments including project management / follow thru of projects.  

5. Create high quality presentations for various forums and meetings where the CTOO will present such as Cx suit, LUPIN Board Meetings, VIP visits etc. This includes and is not limited to evaluation & verification of technical and financial data as input for building storylines etc.

6. Coordinate CTOO contribution to the annual LUPIN Strategy process collecting input from key stakeholders. 

7. Cover calendar, travel planning and mail support in coordination with the Cx Office Secretary. 

8. Undertake analysis with a view to generate actionable insights on key priorities / issues. 

 

Approach and Work style of the role - 

It is important to be proactive and initiate processes in time due to the sometimes very short timelines from external requests (e.g. other Cx areas); this requires an excellent network inside the CTOO organization as well as within LUPIN. Due to very uneven workload, it is vital to balance short terms peaks, yet at the same time keeping control over more mid-term oriented. Very close collaboration with the Office Secretary to the Cx suit is needed to be on top of the 'business calendar' because this to a large extent also triggers the need for special (e.g. content) support to the CTOO.

  • Academic background, preferably technical or financial, and/or other merits providing a genuine understanding of business and operations. 
  • Trust forms the base.   
  • The job benefits from a broad understanding of several fields of competence and fast learning to pick up new skills is important.  
  • Strong communication skills are mandatory as well as good English skills (written & verbal).  
  • High energy level and own drive to define and complete tasks is critical as clear tasks are not always given. 
  • Good networking capability and open and clear communication is a requirement.  
  • Structured, process oriented and goal focused work style is important to keep track of all topics and deliver results. 
  • Open and unconventional approach - does not take "no" for an answer. 
  • High accuracy is a key element to achieve required acceptance of prepared documents.  
  • High flexibility on working hours and availability. 
  • Excellent handling of MS Office (especially PowerPoint) 
  • Passion in driving organizational development is key. 
  • Eagerness to dee-learn OLD and learn NEW.  

 

Qualification: B.E / ICWA/CA /MBA. 

 

Relevant Experience:  5+ years in similar role / As EA to Cx.
